Making a police file

Currently only NSW has mandatory rules about submitting electronic transaction files. Queensland has non-mandatory procedures and other states are expected to introduce the procedures in future. This tutorial deals with the NSW procedure. If you are in Queensland the same screens should automatically produce the file you require, just selected Queensland as your Region.

The process of submitting your file to the police breaks into two parts:

Making the police file

To the right of center on the top row of buttons you will see one that says Police File

If you click on it you will be asked if you want to create the file in the new 3.0 format.

Until 30 March we are in a transition (and we will remove this message box after the new system is fully introduced). For the purpose of this tutorial click Yes. The police file screen will display.

This process is basically automatic. You should click the Create File button. The system will check you really only want to cover todays business. Normally you cover the period from the last time you submitted a police file. Click OK. Assuming you enter the pawn and redemption today, click yesotherwise change the start date to cover the date you require. The system will work through your data and show you the resulting file.

Submitting the police file

The police will provide you with information about how to let them have the file. In Queensland they want it on disk, in NSW you log onto the police website and upload it. Either way you will need to be able to find the file on your hard drive so you can give it to them.

PSD has created a directory called PsdPoliceFiles on your C drive. Below we show you hoe to find it using a file browser such as might appear when using the police website. You can also use My Computer to find the file if you wish to copy it onto a floppy.

Generally, the path to the directory is c:\PsdpoliceFiles. If you open it up you will see it contains the police files you have created. The one below has a number of such files.

They are sorted into date order with the most recent last. Select the one you wish to use (normally the latest one) and copy it onto the floppy disk or upload it to the police.
